Job Description

The Coordinator will focus on exceptional customer service to visitors providing a high-level of hospitality to guests. In addition the position is representing the first impression of Ohio Travel Treasures LLC (a group tour provider) whether by phone or in person. The individual will manage the office, incoming calls, accounts payable and receivable, creation of group tour brochure, creation of sales presentation material, computer support, and other onsite and offsite activities and projects.

Knowledge of Microsoft Office Suite (Outlook, Excel, PowerPoint,etc.)

2+ years of experience working in the travel industry in a role or office coordinator preferred..HOWEVER the right candidate can be trained to excel in this position

High School Diploma or equivalent

Full-time position in a casual work environment. Flexible hours.

Job Responsibilities:

Highly motivated to serve as a tour ambassador of the Ohio Travel Treasures office
Builds loyalty with guests and co-workers by creating a gracious and warm atmosphere through the provision of accurate communication in all interactions
Manages entire office, preparation
Serves as a hospitality coordinator through a variety of sources
Responsible for incoming phone calls (rotating on a daily basis)
Receives, sorts, and distributes incoming mail
Prepares outgoing mail (including FedEx shipments that will need to go to post office)
Faxes, scans, and copies documents; updates and maintains databases such as mailing lists, contact lists, and client information.
Responsible for updating internal staff contact list(s)
Responsible for inventory and ordering office materials
Ensures office equipment is properly maintained and serviced
Performs special projects as requested
Creates tour flyers for sales and for clients
Creates Tour brochure every other year
Responsible for all accounts receivable and tour payouts as well as deposits
Attends bi weekly staff meeting
Travel is involved as much as TEAM member wishes
Communicates daily with customers, suppliers and TEAM members.
Conducts morning info meetings with other tour coordinators
Becomes knowledgeable of ALL group tours offered by Ohio Travel Treasures
