The Convention Services Assistant provides administrative support to the Convention Services Managers and assists the department with special projects. Interacts with Experience Columbus members and current and potential clients.

 

Major Responsibilities:

Accept and distribute incoming Services requests by phone and email and fulfill publication requests.


Produce Simpleview CRM reports on a regular basis to assist Services Managers.


Work with members to update their information in Simpleview and spreadsheets.


Stock and organize the promotional products area, including brochures.


Support department as needed with deliveries of printed materials and posters, exhibitor welcomes, information desks, etc.

 

Other Responsibilities:

Assist Housing Coordinator with citywide housing for conventions by working with hotels, meeting planners and convention attendees.

 

Assist Housing Coordinator with verification and pickup procedures.


Assist other departments as needed with internal and external meetings and events.

 

Assist on a rotation schedule with relief of receptionist for breaks and lunch.

 

Education and Experience:

A 4 year degree from an accredited college or university is preferred.


3 years of previous hotel experience preferred.

 

The organization requires all employees to obtain and maintain their Certified Tourism Ambassador™ (CTA) designation.

Ability to successfully multi-task with detail oriented information and coordinate information from multiple sources.


Ability to work independently.

 

Ability to reprioritize daily.

 

Strong written and verbal communication skills.

 

Excellent time-management skills to meet deadlines.

 

Must be able to maintain a patient, professional and personable manner at all times.

 

Must accurately enter data into databases and have a working knowledge of MS Office Products (Excel, Office, etc.).

 

Ability to safely lift 35 lbs.

 

Must have a valid driver’s license and good driving record.
