Job Title: Executive Director

Immediate Supervisor: President, Board of Trustees

Status: Part-time

Range of pay: $12-14/hour for estimated 30hours and up to 45 hours/week based on seasonal activities and events ($18,000 - 21,000 annually)/comp-time     

 

Background

The Executive Director position of the WACO Historical Society (WACO) will become vacant upon the retirement of Gretchen Hawk in January 2021. WACO is in a transitional period as we emerge from the impacts of the Covid 19 virus, and as the final construction stage of the Robinson Learning Center is contemplated over the next 12 months. Job Description

Under the general direction of the Board of Trustees, this position is the primary day-to-day coordinator of the museum operation and activities, society membership, staff, volunteers, funding sources and the community-at-large to promote the goals and mission of WACO.

 

Responsibilities

  • Oversees operation of the museum, oversite of displays and exhibits, accessioning and deaccessioning items, manages the museum archives.
  • Direct general fundraising, including the researching, writing and filing of grant requests and solicitation of sponsorships and donations.
  • Oversee WACO budget and payroll functions.
  • Incorporate capital projects into the WACO mission.
  • Support the Board of Trustees in fostering donor relations.
  • Supervisor for Learning Center Director, Marketing Manager, and any other staff.
  • Coordinates and manages major WACO events (e.g.. annual Fly-In, IH Scout Show, annual Gala, board retreat and planning meeting) and manage venue and property rentals.
  • Maintain sound financial practices through adherence with Board approved policies, compliance with funding source initiatives and supporting auditors as required.
  • Provide information, advice and counsel to the President of the Board, Board Committees, and Board Members in the creation of policies, programs and strategic direction of the organization.
  • Keep the Board of Trustees informed on the condition of the organization and any important factors which may influence it.
  • Participate and support additional functions of the organization including:
  • Museum operations (aircraft rides, visitors, volunteers, Barnstormer’s Club, gift shop))
  • Manage WACO membership, including publishing periodic membership communication (WACO Word)
  • General administration/accounting/human resource management
  • WACO campus maintenance and safety
  • Airport Management
  • IT program

 

Qualifications

  • Bachelor’s degree or equivalent.   Experience in a museum setting and/or completion of related college courses desirable.     
  • Appreciation of museum and historical materials, and an ability to enthusiastically greet and serve visitors effectively.
  • Ability to handle confidential information with discretion and remain calm in stressful situations.
  • Possess excellent computer skills, especially use of MS Office and the Internet, and basic computer and printer troubleshooting skills.
  • Excellent interpersonal, communication, fundraising, budgeting, and analytical skills.  A strong service ethic, and skills in customer service, public presentations, general training, leadership, community engagement, and communication are essential.
  • Ability to meet, speak with, communicate, and work cooperatively and effectively with other museum and learning center staff, professionals in the field, and patrons.
  • Satisfactory completion of background check.

 

Physical Demands and Working Conditions

  • Ability to:
  • operate standard office equipment.
  • stand for extended periods of time.
  • lift and move a minimum of 40 pounds.
  • assist others in moving airplanes.
  • perform repeated reaching, bending, climbing and squatting.
  • work in a team setting.
  • occasionally work extended hours as needed, including nights and weekends.
  • regularly attend and actively engage in WACO events and trainings.
  • occasionally travel to off‐site locations.
