Sales Assistant

Experience Columbus

Summary:

Support national sales managers, sales managers and/or directors of regional sales. Assist convention sales departments with special projects. Interact with Experience Columbus members and current and potential clients.

Major Responsibilities:

1. Finalize and distribute convention sales leads and all forms related to processing pending and definite business:

  • Record and manage all forms necessary for bid process including creating bid books.

  • Following the bid process, assist with coordinating all aspects of site inspections including transportation and communications with all parties involved.

  • Customize and format bid book pages.

  • Order and ship client gifts

2. Support assigned sales managers:

  • Assist with all pre and post activities related to sales missions and trade shows for respective sales managers:
    • Ship requested goods from the office.

    • Compile all the contacts' information, notes and organizing correspondence post-show
  • Perform the following within the Simpleview database:

    • Accurately update projection sheets to reflect manager’s definite business and tentative bookings

    • Input sales related activities.

    • Create leads as needed.

    • Process reports for managers regarding bookings and accounts.

    • Maintain member contact records.

    • Assist with the entry of Economic Impact calculations and related documents.

    • Communicate directly with clients and members regarding Simpleview database information.

  • Perform the following regarding the MINT database:

    • Ensure correct reporting to MINT

    • Conduct research and access MINT reports to compile information for a particular booking

    • Contribute to monthly MINT reporting of definites and histories via DMAI's website and Simpleview

  • Assist managers with special events.

  • Act as liaison for offsite managers, providing efficient and effective communication, implicit trust, and competent time management.

  • Handle mass mailings

  • Collaborate with other administrative assistants to manage inventory and re-stock mailroom and promotional materials.

Other Responsibilities:

  1. Coordinate all aspects of in-house and client meetings

  2. Attend client and Experience Columbus functions as requested:

    • Volunteer time for events including nights and weekends.

    • Team with Experience Columbus and Greater Columbus Sports Commission for extra events and street teams

  3. Process expense reports, check requests and registrations
  4. Provide assistance to others, as required:
  • Help the Market Analyst with contributed services report each month.
  • Provide phone coverage for Experience Columbus receptionist on scheduled days.

  • Help the Services department with Exhibitor Welcomes.

  • Assist with the training of new sales assistants.
