VIP Site Coordinator

Cincinnati USA Convention & Visitors Bureau

At Cincinnati USA Convention and Visitors Bureau it’s our job to promote our great destination. With revitalization and energy throughout our area we’re pleased show off our city. We are seeking a full-time site visit coordinator to help the sales team book every potential piece of business.
 
Specifically, you will: 
  • Develop, plan and execute events to “wow” all potential clients.
  • Manage the logistics of each event (familiarization tours, site visits, tradeshows, missions) and plan the event with the customer experience in mind
- Select venues, invitations, develop agendas, confirm attendees, provide audio visual aids as necessary, coordinate meal menus, and appreciation gifts.
- Arrange all aspects of the tours including transportation, VIP tours with hospitality partners, and dining experiences. 
  • Develop comprehensive profiles on visiting clients and tailor their visit based on their personal preferences. Develop a recognition program whereby our partners can easily identify our VIP clients
  • Coordinate with community partners to identify and develop cooperative sponsorship opportunities.
  • Develop invitations and integrate with web marketing to track responses and distribute the invitations.
  • Coordinate CVB pre and post-convention meetings including coordinating client surveys.
Requirements:
  • BA/BS degree or equivalent related experience
  • Demonstrate excellent communication and organizational skills
  • Demonstrate a strong attention to detail
  • Practical knowledge of office computer software / customer database
  • Familiarity with the local area 
  • Excellent administrative, negotiation, and follow-up skills.
  • Proficient computer skills, including working knowledge of Microsoft Word, Excel, and PowerPoint, internet browsers, and e-mail systems.
  • Good speaking and listening skills.
  • Ability to take initiative and work independently.
  • Ability to be adaptable, flexible, and to handle multiple tasks simultaneously.
  • Willing and able to work evenings, weekends and holidays based on client, event, and office demands
  • Ability to interact with others, both in person and through phone, e-mail, and written correspondence
