In this role you will be responsible for all housing operations.  You will also work with meeting planners to determine and help meet their service and/or housing needs. 

 

Essential Duties and Responsibilities:

  1. Meet with association executives to review the housing procedures (CVB and the organization); and, explains the computerized housing system.

  2. Review room blocks to determine if the correct number of rooms and room types are being held on a nightly basis.  Discusses possible revisions with meeting planner and hoteliers.

  3. Work with the meeting planner to develop a reservation form acceptable to the group, the hotels, and the housing bureau and builds the housing web site. Data enters all reservations.

  4. Monitor room inventories at all participating hotels during the housing process and adjusts inventories as needed. Review group rosters to detect duplicate reservations and contacts guests accordingly.

  5. Keep up with housing trends and the Passkey releases. Train/update others on Passkey new releases.

  6. Establish contact with convention and meeting planners and maintain a routine of written, telephone, and personal contact with the clients.

  7. Work closely with sales managers on their assigned accounts and develops rapport with clients to ensure confidence.

  8. Provide promotional assistance and materials to meeting planners in effort to increase convention attendance.

  9. Plan agenda and conducts site visits for the meeting planners with the hotels, convention center, special event destination planning companies, city tours, area attractions and other facilities or members as needed.

  10. Coordinate and supervise all on-site services in an effort to encourage repeat business for the city.

  11. Market registration services to incoming meetings and conventions resulting in increased Bureau revenue.

  12. As applicable, work with other organizations in the Greater Cincinnati community, such as the Downtown Council, the Cincinnati Police Department, and the Hotel/Motel Association to better facilitate and promote the needs of convention delegates. Serve as liaison between client and other Bureau staff, hotels/motels, convention center, and Bureau membership.

  13. Complete post-convention reports and return files to solicitation/sales status.

 

Requirements

  1. Knowledge of:  organization, functions, and programs of the Bureau; services offered by Bureau members; facilities including hotels and convention center; modern office procedures and practices including business correspondence; various Microsoft computer software programs (including Excel); and policies of the Bureau pertaining to services provided.

  2.  

    Ability to:  Create Excel documents; develop and write clear and comprehensive letters and documents; speak before groups or give presentations about the Bureau or Greater Cincinnati area; display tact and diplomacy in contacts with staff, clients, and Bureau members; and display competence to convention clients.

  3. Education/Experience:  BS or BA degree in sales, public relations, management or business related field or two years’ experience in sales or public relations, preferably in the hospitality industry.   Hotel and/or CVB experience in Convention Service/Housing preferred.

  4. Knowledge of hotel reservation processes and/or housing programs such as (but not limited to) Passkey, Meeting Max, etc. 

  5. As required, travel to prior year cities to promote Cincinnati for future conferences booked in our city.

  6. Able to work evenings and/or weekends as required.

  7. Attention to detail and the ability to work under pressure while meeting all deadlines.
